Introduction

We are seeking a diligent and organized Backoffice Operations Administrator to join our dynamic team. Responsibilities

  • Maintain and organize physical and electronic filing systems to ensure quick retrieval of documents.
  • Prepare, edit, and distribute correspondence, reports, and presentations using Microsoft Word and Excel.
  • Manage inbound and outbound email communications, responding promptly to internal and external inquiries.
  • Coordinate daily schedules, meeting rooms, and logistics for departmental activities.
  • Assist the finance team with basic accounting tasks, such as invoice processing and expense tracking (knowledge of accounting is a plus).
  • Monitor inventory of office supplies and place orders to sustain smooth operations.
  • Compile weekly and monthly operational reports for senior management.
  • Support HR functions by maintaining employee records, leave balances, and onboarding documentation.
  • Facilitate clear communication between team members, supervisors, and external partners.
  • Identify process improvement opportunities and suggest efficient workflow enhancements.

Requirements

  • Minimum education: SMA/SMK or equivalent.
  • Gender: Female.
  • Maximum age: 40 years.
  • At least 2 years of relevant administrative or back‑office experience.
  • Proficiency in Microsoft Word, Excel, and professional email etiquette.
  • Exceptional filing and data‑management skills with a keen eye for detail.
  • Strong communication abilities—both written and verbal—and the capacity to work collaboratively with colleagues and supervisors.
  • High level of discipline, honesty, and accountability.
  • Physical and mental health that enables sustained productivity.
  • Basic understanding of accounting principles is an added advantage.
  • Ability to work efficiently under tight deadlines and adapt quickly to changing priorities.
