Introduction

We are seeking a diligent and motivated Office Administration and Document Management Coordinator to join our dynamic team. This role is essential for ensuring smooth daily operations, maintaining accurate records, and supporting various administrative functions across our offices in Jakarta and other locations throughout Indonesia. The successful candidate will demonstrate integrity, a strong work ethic, and the flexibility to adapt to a fast‑paced environment while delivering high‑quality support to all departments.

Responsibilities

  • Coordinate daily office activities, including reception duties, mail handling, and visitor management.
  • Maintain and organize both physical and electronic document filing systems to ensure quick retrieval and compliance with company policies.
  • Prepare, edit, and distribute internal communications, reports, and presentations using Microsoft Office Suite, particularly Excel and PowerPoint.
  • Assist in scheduling meetings, arranging travel logistics, and managing calendars for senior staff.
  • Monitor inventory of office supplies, place orders, and track expenditures to stay within budget.
  • Support HR functions by preparing onboarding documents, maintaining employee records, and facilitating training session logistics.
  • Implement and continuously improve document control procedures, including version control, retention schedules, and secure disposal of outdated files.
  • Collaborate with cross‑functional teams to collect and consolidate data for monthly performance dashboards.
  • Provide basic troubleshooting for office equipment (printers, scanners, fax machines) and coordinate with IT for more complex issues.
  • Ensure compliance with data protection regulations and company confidentiality standards.

Requirements

  • Education: Minimum high school diploma (SMA/SMK) or equivalent.
  • Experience: At least 1 year of relevant administrative or document management experience.
  • Gender: Open to all genders.
  • Age: No maximum age limit; candidates of any age are encouraged to apply.
  • Core Competencies: Honesty, bravery, discipline, and a strong sense of responsibility.
  • Work Ethic: Proactive, diligent, and eager to take ownership of tasks.
  • Technical Skills: Proficient in Microsoft Excel, comfortable using social media tools for internal communications, and basic knowledge of document management software.
  • Location Flexibility: Willingness to be placed in Jakarta or outside Java. Accommodation and transportation will be provided after successful training and placement.
  • Work Schedule: Monday to Saturday, 08:30 – 17:30.
