Responsibilities
- Greet patients, visitors, and callers with a friendly and professional demeanor, managing first impressions of the clinic.
- Register new patients and update existing medical records accurately using the hospital’s electronic health‑record (EHR) system.
- Schedule, confirm, and reschedule appointments, coordinating with physicians, nurses, and ancillary services to optimize clinic flow.
- Handle inbound and outbound telephone calls, responding to inquiries, directing calls to appropriate departments, and providing information about services and policies.
- Maintain a tidy and organized reception area, ensuring brochures, signage, and informational materials are current and displayed neatly.
- Process and verify insurance documents, collect co‑payments, and issue receipts while adhering to confidentiality and data‑protection standards.
- Prepare daily reports on patient volumes, appointment cancellations, and other key performance metrics for management review.
- Collaborate with the administrative team to manage shift schedules, cover holidays, and ensure seamless handovers between team members.
- Assist in emergency situations by following established protocols, including rapid patient triage and notifying medical staff.
- Participate in continuous improvement initiatives, suggesting enhancements to patient flow, record‑keeping, and communication processes.
Requirements
- Female candidate, maximum age 30 years.
- Minimum education: D3/D4 in Medical Records (Rekam Medis) or related health administration field.
- Active STR (Surat Tanda Registrasi) license.
- Proficient in Microsoft Office suite and hospital administration software.
- Strong verbal communication skills in Indonesian, with the ability to convey information clearly and politely.
- Demonstrated ability to work effectively in a team and adapt to shift‑based schedules, including weekends (Monday‑Saturday, 08:00‑17:00).
- Excellent personal presentation: neat, clean, and approachable.
- High level of discipline, honesty, and accountability.
- Willingness to work on public holidays when required.
- Flexibility to be transferred to other branch locations according to company needs.
