Introduction
We are seeking a diligent Staf Administrasi Operasional Perusahaan to join our fast‑growing operations team. This role is essential for ensuring the smooth flow of sales orders, customer data management, and inventory control within a dynamic, manufacturing‑oriented environment. The successful candidate will act as a critical liaison between the sales, warehouse, and finance departments, guaranteeing that all operational documentation is accurate, timely, and compliant with company standards.
The position offers a full‑time schedule from Monday to Saturday, 08:00 – 17:00, providing a stable work routine while allowing for occasional overtime during peak periods such as month‑end stock counts or special promotional campaigns.
Responsibilities
- Accurately input Sales Orders (SO) into the ERP system, verifying product codes, pricing, and delivery dates.
- Process returned merchandise and generate corresponding return notes, coordinating with the warehouse to update stock levels.
- Enter new customer data, ensuring completeness of contact information, tax identification, and credit terms.
- Communicate promotional programs and special offers to existing and prospective customers via phone, email, or messaging platforms.
- Prepare and submit monthly stock‑opname reports, reconciling physical counts with system records and highlighting variances.
- Support the finance team by providing documentation for invoicing, credit memos, and payment follow‑ups.
- Collaborate with the procurement department to track inbound shipments and verify receipt against purchase orders.
- Maintain organized filing systems—both digital and paper—so that all operational records are easily retrievable.
- Identify opportunities for process improvement, suggesting automation or workflow adjustments to reduce manual entry errors.
- Assist in training new administrative staff on standard operating procedures and software tools.
Requirements
- Minimum education: SMA/SMK or equivalent; additional certifications in office administration or logistics are a plus.
- Male candidates, aged 22‑32, with at least 1 year of relevant administrative or operational experience.
- Proficiency in Microsoft Office suite, especially Excel for data analysis and reporting.
- Strong attention to detail and ability to manage multiple data entry tasks without sacrificing accuracy.
- Excellent communication skills—both written and verbal—to interact effectively with customers and internal teams.
- Basic understanding of inventory management principles and familiarity with ERP or similar business systems.
- Demonstrated problem‑solving ability, particularly when handling return discrepancies or customer data issues.
- Reliability and punctuality, with a commitment to adhering to the defined work schedule.
