We are seeking a dedicated Staf Administrasi Kantor to join our dynamic team in the Cikeas area. This full‑time position supports the daily operations of our office and plays a crucial role in maintaining smooth communication between the administrative, technical, and customer‑service departments. The ideal candidate will be organized, detail‑oriented, and comfortable handling a variety of tasks ranging from data entry to basic vehicle‑related support, reflecting our company’s blend of office administration and automotive service expertise.
Responsibilities
- Manage incoming and outgoing correspondence, ensuring timely distribution of letters, emails, and packages.
- Maintain accurate filing systems—both physical and digital—for contracts, invoices, maintenance records, and employee documents.
- Perform data entry and database updates for inventory, service orders, and customer information with a high degree of accuracy.
- Coordinate meeting schedules, prepare agendas, and record minutes for internal and client meetings.
- Assist the mechanics and service technicians by organizing work orders, tracking parts usage, and ensuring that required tools and equipment are logged correctly.
- Handle basic bookkeeping tasks, such as processing petty‑cash reimbursements, preparing expense reports, and liaising with the accounting department.
- Support recruitment activities by posting job ads, scheduling interviews, and maintaining candidate records.
- Provide frontline customer service, answering phone calls, responding to inquiries, and directing visitors to the appropriate personnel.
- Monitor office supplies, place orders, and maintain an inventory log to prevent shortages.
- Contribute to continuous improvement initiatives by suggesting workflow enhancements and participating in team brainstorming sessions.
Requirements
- Education: Minimum D3/D4 (Associate or Bachelor degree) – however, candidates with a high school (SMA/SMK) background are also considered if they demonstrate strong administrative aptitude.
- Age: 20 years or older.
- Location: Must reside in Depok, Cimanggis, Cibubur, Cikeas, Wanaherang, or surrounding areas.
- Transportation: Own a reliable vehicle and hold a valid SIM C (motorcycle license) for occasional site visits.
- Technical knowledge: Preferably a graduate of SMK Automotive (Otomotif) or a candidate with prior experience as a mechanic, to better understand the service environment.
- Gender: Open to all genders.
- Core Skills: Strong administrative abilities, proficiency with Microsoft Office (Word, Excel, Outlook), excellent written and verbal communication, and basic accounting familiarity.
- Soft Skills: High level of organization, attention to detail, problem‑solving mindset, ability to work independently and as part of a multidisciplinary team, and a customer‑service orientation.
- Work Schedule: Monday to Saturday, 08:00 – 17:00.
