The ideal candidate is a motivated female professional, up to 28 years of age, with a minimum education of SMA/SMK or D3 and a passion for delivering high‑quality administrative support, particularly within the vibrant wedding services industry.
Responsibilities
- Manage and organize physical and electronic documents, ensuring proper filing, archiving, and retrieval in compliance with company policies.
- Maintain and update databases, including client information, vendor contacts, and event schedules, with a high degree of accuracy.
- Prepare, edit, and proofread correspondence, proposals, contracts, and reports using Microsoft Word and Excel.
- Coordinate internal meetings, appointments, and travel arrangements, providing timely reminders and logistical support.
- Serve as the first point of contact for clients and partners, delivering courteous and responsive communication via phone, email, and in‑person interactions.
- Assist the wedding planning team by tracking event timelines, managing inventory of supplies, and monitoring budget allocations.
- Perform routine office tasks such as handling incoming and outgoing mail, managing office supplies, and ensuring equipment functionality.
- Identify and resolve administrative bottlenecks, suggesting process improvements to enhance efficiency and accuracy.
- Support HR functions by maintaining employee records, processing attendance sheets, and assisting with onboarding documentation.
- Collaborate with cross‑functional teams to ensure seamless execution of client projects and events.
Requirements
- Female candidate, maximum age of 28 years.
- Minimum education: SMA/SMK or D3; fresh graduates are encouraged to apply.
- Proficiency in Microsoft Office Suite, especially Word and Excel, with the ability to create spreadsheets, charts, and formatted documents.
- Excellent written and verbal communication skills in Bahasa Indonesia; English proficiency is a plus.
- Strong problem‑solving abilities, attention to detail, and effective time‑management skills.
- Prior experience or exposure to the wedding industry is preferred but not mandatory.
- Demonstrated ability to handle confidential information with discretion.
- Fast response mindset with a customer‑service orientation.
- Availability to work Monday through Saturday, 08:00 – 17:00.
