Introduction
We are seeking a highly organized and proactive Personal Assistant who is fluent in Mandarin to support senior leadership in a fast‑growing international business environment. The ideal candidate will act as a bridge between our executive team and Chinese partners, ensuring seamless communication, meticulous schedule management, and flawless execution of day‑to‑day administrative tasks. Responsibilities
- Coordinate and maintain the executive’s calendar, scheduling meetings, travel, and personal appointments with precision.
- Serve as an interpreter and translator (Mandarin‑Indonesian and Mandarin‑English) during internal and external meetings, conference calls, and written communications.
- Prepare, proofread, and format documents, reports, and presentations in both Indonesian and Mandarin, ensuring linguistic accuracy and professional appearance.
- Arrange domestic and international travel itineraries, including flight bookings, hotel reservations, ground transportation, and visa requirements.
- Manage incoming and outgoing correspondence, including email, phone calls, and messaging platforms, responding in the appropriate language and tone.
- Act as the primary point of contact between the executive and Chinese clients, vendors, and partners, fostering strong relationships and timely information flow.
- Organize and maintain an orderly filing system—both digital and physical—so critical documents are easily retrievable.
- Provide timely reminders for meetings, deadlines, and key deliverables, helping the executive stay ahead of priorities.
- Support broader administrative and operational needs, such as expense reporting, meeting room preparation, and special project coordination.
- Undertake any additional duties assigned by the executive that support business coordination with Mandarin‑speaking stakeholders.
Requirements
- Minimum of a Bachelor’s degree (S1) in Administration, Management, Mandarin, Communications, or a related field; D3 candidates with strong experience are also considered.
- Active Mandarin language proficiency (spoken and written) at HSK level 4‑5 or equivalent, with the ability to converse fluently with native speakers.
- At least one year of experience as a Personal Assistant, Executive Secretary, or Administrative Coordinator; fresh graduates with relevant internships are welcome to apply.
- Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with modern collaboration tools (e.g., Teams, Slack, Google Workspace).
- Strong communication and interpersonal skills, capable of liaising effectively with internal teams and external partners.
- Basic translation abilities between Mandarin‑Indonesian and Mandarin‑English for routine business documents.
- Excellent time‑management, multitasking, and organizational capabilities, with a keen eye for detail.
- Professional appearance, disciplined work ethic, and the ability to perform under pressure while maintaining confidentiality.
