Introduction

To sustain our growth and maintain seamless operations, we are looking for a diligent and communicative Staff Administrasi (Sales Support & Operation) to join our dynamic team.

Responsibilities

  • Organize, file, and maintain all sales‑related documentation—including orders, contracts, and internal reports—in a systematic and easily retrievable manner.
  • Handle professional correspondence with principals, distributors, and customers, ensuring timely responses and accurate information exchange.
  • Update and manage the customer database, track order statuses, and generate periodic sales performance reports.
  • Verify that incoming Purchase Orders (PO) match the terms of the previously issued quotations and contracts.
  • Distribute PO copies to the relevant internal divisions (logistics, finance, production) and follow up on any discrepancies.
  • Provide day‑to‑day support to the sales team, coordinating internal and external communications, scheduling meetings, and preparing sales materials.
  • Prepare invoices, tax invoices, and delivery notes, ensuring compliance with company policies and Indonesian tax regulations.
  • Record and archive all quotations issued, maintaining a clear audit trail for future reference.
  • Draft and circulate official letters, memos, and other documentation required by the Sales Division.
  • Produce accurate, periodic administrative reports that summarize sales activities, inventory movements, and key performance indicators.
  • Assist in special projects such as market research, promotional campaign tracking, and process improvement initiatives.

Requirements

  • Minimum education: D3/D4 in Administration, Management, Business, or a related field (preferably with a focus on sales support or logistics).
  • At least 1 year of hands‑on experience in sales administration, order processing, or related back‑office functions.
  • Proficient in English (both spoken and written) to handle international correspondence and documentation.
  • Strong command of Microsoft Office Suite—Word, Excel (including pivot tables and V‑lookups), PowerPoint—and familiarity with Microsoft Teams or other collaboration platforms.
  • Highly detail‑oriented, with excellent data‑entry accuracy and strong organizational skills.
  • Effective time‑management abilities, capable of juggling multiple priorities and meeting tight deadlines.
  • Excellent interpersonal and communication skills; able to work collaboratively across departments and maintain a professional demeanor with clients.
  • Disciplined, responsible, and able to perform under pressure while adhering to company procedures.
  • Adaptable to changing priorities and proactive in suggesting workflow improvements.
