Introduction

We are a dynamic retail and wholesale business operating from the heart of Jakarta, specializing in fast‑moving consumer goods and e‑commerce distribution across major marketplaces. To support our rapid growth, we are looking for a detail‑oriented General Administrator who can keep our daily operations running smoothly and ensure that all administrative processes are executed with precision and professionalism.

Responsibilities

  • Maintain a well‑organized daily operations schedule, ensuring all paperwork, reports, and communications are filed and accessible.
  • Enter, validate, and reconcile sales and purchase data in the company’s ERP system, guaranteeing accuracy for financial reporting.
  • Provide administrative support to the logistics and sales teams, including preparation of shipping documents, inventory updates, and order confirmations.
  • Execute systematic physical and digital filing procedures, creating a searchable archive that speeds up information retrieval for audits and management reviews.
  • Manage return processes and follow up on customer complaints received through online marketplaces, responding promptly to maintain high customer satisfaction ratings.
  • Coordinate with the finance department to prepare monthly summary reports, assist in expense tracking, and help with budget monitoring.
  • Assist in preparing presentation materials and internal communications for weekly operational meetings.
  • Monitor office supplies inventory and place orders to ensure uninterrupted workflow.
  • Support the onboarding of new staff by preparing orientation packets and ensuring all required documentation is completed.

Requirements

  • Gender: Female (preference based on team composition).
  • Age: 20‑30 years.
  • Education: Minimum high school diploma (SMA/SMK) or equivalent; a background in Accounting is highly desirable.
  • Work Experience: At least 1 year of proven experience as an administrator, preferably in retail or wholesale environments.
  • Technical Skills: Proficient with Microsoft Excel (basic formulas, sorting, and filtering), comfortable using digital filing systems, and familiar with e‑commerce platforms.
  • Personal Attributes: Extremely organized, meticulous, honest, and responsive with a strong sense of accountability.
  • Soft Skills: Excellent written and verbal communication, ability to prioritize multiple tasks, strong problem‑solving capabilities, and a collaborative mindset.
  • Language: Proficiency in Bahasa Indonesia; English proficiency is a plus.
