Introduction
The Administrator Administrasi Export Internasional plays a pivotal role in ensuring the smooth flow of goods from Indonesia to global markets. Responsibilities
- Prepare and verify all export documentation, including commercial invoices, packing lists, PEB (customs declaration), COO (Certificate of Origin), and any additional certificates required by destination countries.
- Coordinate daily with freight forwarders, shipping lines, and customs brokers to arrange container bookings, vessel schedules, and cargo loading plans.
- Monitor shipment schedules, track containers in transit, and proactively resolve any delays or discrepancies.
- Manage export permits and ensure compliance with national and international regulations such as SVLK, V‑Legal, and FLEGT, updating procedures as regulations evolve.
- Serve as the primary point of contact for international clients, providing timely updates on shipment status, documentation status, and any customs issues.
- Maintain an organized, electronic and physical filing system for all export records, ensuring data accuracy for audits and performance reporting.
- Collaborate closely with production planners and warehouse supervisors to align manufacturing output with export timelines, ensuring products are ready for loading.
- Identify opportunities for process improvement, such as digitizing paperwork, reducing lead times, or optimizing container utilization.
- Support the logistics team during peak seasons by handling ad‑hoc tasks, such as special cargo documentation or emergency shipment arrangements.
- Prepare regular KPI reports on on‑time delivery, documentation accuracy, and compliance metrics for senior management.
Requirements
- Minimum education: D3/D4 (Diploma or Bachelor’s degree) in International Trade, Logistics, Business Administration, or a related field.
- Strong familiarity with export documentation and shipping processes; prior experience in export administration or logistics is preferred.
- Proficient in English, both written and spoken, to communicate effectively with overseas customers and partners.
- Excellent organizational skills with a high degree of attention to detail; ability to manage multiple shipments simultaneously.
- Solid understanding of compliance frameworks such as SVLK, V‑Legal, and FLEGT, and the ability to stay updated on regulatory changes.
- Proficiency with Microsoft Office (Excel, Word) and exposure to ERP or trade management systems (e.g., SAP, Oracle, or local equivalents).
- Strong interpersonal skills; capable of building relationships with internal teams, freight forwarders, customs officials, and clients.
- Ability to work under tight deadlines, prioritize tasks, and adapt to shifting schedules across different time zones.
- Basic knowledge of Incoterms and international trade terms is an advantage.
