Introduction

We are seeking a dynamic Operations Department Head to lead and optimize the operational excellence of our fast‑growing agency/startup environment. This senior role is pivotal in shaping the way our teams collaborate, ensuring that every project moves smoothly from inception to delivery while maintaining the highest standards of quality and efficiency. The ideal candidate will bring a blend of strategic vision, hands‑on leadership, and a passion for continuous improvement.

Responsibilities

  • Develop, refine, and maintain Standard Operating Procedures (SOPs) for all divisions, ensuring clarity, consistency, and scalability.
  • Design and oversee end‑to‑end project workflows, covering pre‑project planning, ongoing execution, and post‑project analysis.
  • Monitor team timelines and workload distribution, proactively adjusting resources to meet deadlines.
  • Conduct rigorous quality control checks before any deliverable is handed to the client.
  • Standardize toolsets across the organization and supervise ERP system controls to guarantee data integrity.
  • Produce weekly operational reports, highlighting key performance indicators and identifying bottlenecks.
  • Lead a cross‑functional team of at least five members, providing coaching, performance feedback, and career development.
  • Analyze operational challenges, diagnose systemic issues, and implement process improvements that boost productivity.
  • Collaborate with senior leadership to align operational strategies with overall business goals and growth plans.
  • Foster a culture of accountability, attention to detail, and constructive communication throughout the department.

Requirements

  • Minimum education: Diploma (D3) or Bachelor’s degree (D4) in Business Administration, Management, or a related field.
  • At least 2–3 years of relevant experience in an agency, startup, or corporate environment.
  • Proven track record of leading a team of five or more people.
  • Strong expertise in digital project management, workflow design, and deadline enforcement.
  • Exceptional analytical skills with the ability to spot inefficiencies and implement corrective actions.
  • Detail‑oriented, decisive, and composed under pressure; not defensive when receiving feedback.
  • Excellent communication and interpersonal abilities to coordinate across departments.
  • Proficiency with ERP platforms, project management tools (e.g., Asana, Trello, Monday.com), and reporting software.
  • Open to all genders; age is not a limiting factor.
  • Availability to work Monday‑Saturday, 08:00‑17:00.
