Introduction
We are seeking a proactive and detail‑oriented Procurement and Purchasing Manager to join our dynamic team. This full‑time position operates Monday through Saturday, from 08:00 to 16:00, and plays a critical role in ensuring that all departments receive the right goods and services at the right time and cost. The successful candidate will act as a strategic partner to internal stakeholders while maintaining strong relationships with external vendors, driving efficiency, and supporting our company’s growth objectives.
Responsibilities
- Planning & Needs Analysis
- Identify and consolidate procurement requirements from each division, translating operational needs into clear purchase specifications.
- Develop comprehensive purchase plans based on current inventory levels, forecasted demand, and budget constraints.
- Conduct cost‑benefit analyses to prioritize spend and recommend cost‑saving initiatives.
- Sourcing & Negotiation
- Research, shortlist, and evaluate potential suppliers using criteria such as price, quality, reliability, and service capacity.
- Prepare and issue Request for Quotation (RFQ) or Request for Proposal (RFP) documents.
- Lead price, payment terms, and contract negotiations to secure the most advantageous agreements.
- Purchase Processing
- Create accurate Purchase Orders (PO) in accordance with corporate procedures and ensure alignment with technical specifications.
- Track order status, coordinate logistics, and verify on‑time delivery of goods and services.
- Resolve any discrepancies, such as damaged goods or invoicing errors, in a timely manner.
- Administration & Documentation
- Maintain organized records of all procurement documents, including PO, invoices, contracts, and supplier performance reports.
- Generate regular purchasing dashboards and reports for senior management review.
- Ensure compliance with internal SOPs and prepare for internal or external audits.
- Supplier Monitoring & Evaluation
- Conduct periodic performance assessments of vendors, measuring delivery reliability, quality, and cost adherence.
- Foster long‑term partnerships by addressing concerns, sharing forecasts, and exploring joint improvement initiatives.
- Recommend new suppliers when market conditions or strategic needs evolve.
- Internal Coordination
- Collaborate closely with the warehouse team to align stock levels with purchasing plans.
- Work with the finance department to verify invoices, process payments, and manage cash flow related to procurement.
- Support other divisions by providing procurement expertise, training, and timely assistance.
Requirements
- Minimum education: Associate degree (D3) or Bachelor’s degree (D4) in Business Administration, Supply Chain Management, or a related field.
- Age: Up to 30 years old.
- Gender: Open to all genders.
- At least 1 year of hands‑on experience in procurement, purchasing, or supply chain operations.
- Demonstrated ability in cost analysis, price benchmarking, and supplier evaluation.
- Strong negotiation skills with a track record of securing favorable terms.
- Proficiency in procurement software or ERP systems and advanced Excel skills.
- Excellent communication and interpersonal abilities to work effectively across departments and with external partners.
- Highly organized, detail‑oriented, and capable of managing multiple priorities under tight deadlines.
- Fluency in Bahasa Indonesia; English proficiency is a plus.
