Introduction

We are seeking a proactive and detail‑oriented Staff General Affair – Administration & Operations to join our dynamic team. The successful candidate will be responsible for managing office supplies, maintaining organized documentation, overseeing facility services, and coordinating logistics with vendors and building management. Responsibilities

  • Manage office consumables (ATK), inventory, and equipment through regular stock‑taking, requisition processing, and distribution, including monitoring photocopier meter billing.
  • Maintain an orderly filing system for invoices, vouchers, receipts, and other critical documents, ensuring easy retrieval and compliance with record‑keeping policies.
  • Oversee the functionality of office facilities, including pantry supplies, cleanliness standards, and basic maintenance requests.
  • Coordinate inbound and outbound document shipments via reputable couriers, tracking deliveries and handling any issues that arise.
  • Support procurement activities by preparing purchase requests, obtaining quotations, and assisting in vendor negotiations.
  • Serve as the primary liaison with vendors and building management, scheduling services, resolving disputes, and ensuring contractual obligations are met.
  • Conduct periodic audits of office assets and report discrepancies to senior management.
  • Assist with additional general‑affair tasks as needed, such as event logistics, employee onboarding paperwork, and health‑safety compliance checks.

Requirements

  • Educational background: Minimum D3/D4 (associate or bachelor degree) in Business Administration, Management, or a related field.
  • At least 2 years of proven experience in General Affairs, office administration, or facilities management.
  • Strong command of MS Office (Word, Excel, PowerPoint) and familiarity with office administration software.
  • Excellent communication skills—both written and verbal—and the ability to interact professionally with internal teams and external partners.
  • Highly organized, meticulous, and capable of handling multiple tasks simultaneously without compromising quality.
  • Experience managing vendor relationships, negotiating contracts, and coordinating service deliveries is preferred.
  • Understanding of procurement processes, including requisition, purchase order creation, and receipt of goods/services.
  • Ability to work independently, prioritize workloads, and meet deadlines in a Monday‑to‑Friday schedule (08:00‑17:00).
  • Core soft skills: problem‑solving, time‑management, negotiation, and a proactive attitude toward continuous improvement.
