This role is pivotal in supporting the planning process, handling client communications, and ensuring that every detail of a wedding runs smoothly from concept to execution.
Responsibilities
- Coordinate daily administrative tasks for wedding projects, including scheduling meetings, preparing agendas, and maintaining up‑to‑date project files.
- Assist senior consultants in drafting proposals, contracts, and detailed itineraries that reflect clients’ visions and budgets.
- Manage client databases using MS Word and Excel, ensuring accurate records of contacts, preferences, and payment schedules.
- Create visually appealing presentations and marketing materials using Canva and edit short promotional videos with CapCut.
- Serve as a primary point of contact for vendors, negotiating terms, confirming deliveries, and tracking timelines to meet critical deadlines.
- Conduct on‑site visits to venues, compile reports, and provide feedback to the planning team.
- Support the public‑facing side of the business by delivering product presentations and participating in bridal fairs, leveraging strong public‑speaking abilities.
- Monitor project budgets, record expenditures, and prepare regular financial summaries for senior management.
- Collaborate closely with cross‑functional teams—design, logistics, catering—to ensure seamless execution of all wedding elements.
- Maintain a well‑organized filing system, both digital and physical, for contracts, permits, and client approvals.
- Utilize a personal motorbike and valid SIM C for on‑site errands, vendor pickups, and urgent deliveries.
Requirements
- Minimum education: SMA/SMK or equivalent.
- At least 1 year of hands‑on experience in the wedding or events industry.
- Age not exceeding 35 years.
- Proficiency in Microsoft Word and Excel for data handling and reporting.
- Creative skill set with Canva for graphic design and CapCut for basic video editing.
- Strong public‑speaking and presentation abilities, capable of representing the brand to clients and partners.
- Excellent teamwork, time‑management, and ability to meet tight deadlines and targets.
- Possession of a motorbike and a valid SIM C license for local travel.
