Introduction
We are seeking a proactive and detail‑oriented Sales Administration and Customer Service Assistant to join our dynamic hospitality team, specializing in Food & Beverage (F&B) operations. This role is pivotal in bridging the gap between frontline service, finance, and back‑office administration, ensuring seamless daily operations and accurate financial reporting. The successful candidate will have a solid background in hospitality administration, strong analytical abilities, and a passion for delivering excellent customer experiences.
Responsibilities
- Prepare and maintain accurate daily, weekly, and monthly financial reports, including profit & loss statements and cost of goods sold (COGS) calculations.
- Compile and reconcile sales data from multiple POS systems, generating detailed revenue analyses for management review.
- Assist the finance department by drafting and updating budget forecasts, monitoring variances, and recommending corrective actions.
- Manage customer inquiries, complaints, and service requests, ensuring timely resolution and high satisfaction levels.
- Coordinate with the kitchen, bar, and service staff to verify inventory levels, track waste, and update the central database.
- Maintain organized filing systems—both physical and digital—for contracts, invoices, supplier agreements, and employee records.
- Support the HR team with onboarding documentation, attendance tracking, and employee performance logs.
- Conduct regular audits of sales receipts, vendor invoices, and expense claims to detect discrepancies.
- Generate ad‑hoc reports for marketing campaigns, promotional events, and seasonal menu launches.
- Continuously improve administrative processes by adopting best practices and leveraging new software tools.
Requirements
- Minimum education: SMA/SMK or equivalent.
- At least 2 years of proven experience in hospitality administration, preferably within the F&B sector.
- Strong knowledge of cost accounting, financial reporting, and HPP (Harga Pokok Penjualan) calculations.
- Proficiency in database management, Microsoft Excel, and common POS software.
- Excellent communication skills in both written and spoken Bahasa Indonesia; English proficiency is a plus.
- Ability to adapt quickly to fast‑paced environments and manage multiple priorities.
- Attention to detail, analytical mindset, and a high level of integrity when handling confidential data.
- Team‑player attitude with the capacity to work independently when required.
