Introduction
We are seeking a proactive Officer Procurement and Vendor Management to join our expanding operations in North Sumatra. This pivotal role ensures that our branch infrastructure, from office spaces to operational facilities, is equipped and ready to support business growth. The successful candidate will act as the bridge between internal stakeholders, suppliers, contractors, and governmental bodies, guaranteeing seamless procurement cycles and robust vendor relationships.
Responsibilities
- Plan, coordinate, and verify the availability of branch infrastructure—including office spaces, utilities, and operational equipment—to align with strategic business objectives.
- Lead the end‑to‑end procurement process: generate purchase requisitions (PR), conduct vendor selection, negotiate pricing and terms, issue purchase orders (PO), and monitor delivery performance.
- Develop and maintain strong partnerships with third‑party providers, such as property landlords, contractors, and service vendors, ensuring contracts are clear, compliant, and cost‑effective.
- Conduct on‑site surveys and field coordination for new branch openings or facility upgrades, documenting requirements and providing real‑time feedback to project teams.
- Secure all necessary operational permits and licenses in accordance with national and regional regulations, working closely with local authorities.
- Manage inventory control and documentation for both head‑office and branch locations, ensuring accurate records of assets, consumables, and contract files.
- Perform regular monitoring and evaluation of vendor performance, using key performance indicators (KPIs) to drive continuous improvement and risk mitigation.
- Prepare periodic procurement reports, cost analyses, and forecasting models to support senior management decision‑making.
- Travel to branch sites and supplier locations as required, maintaining a high level of mobility and field presence.
Requirements
- Minimum Bachelor’s degree (S1) in any discipline; Business Administration, Supply Chain, or Engineering is a plus.
- At least 1 year of proven experience in Procurement, Purchasing, or General Affairs (GA) functions.
- Solid understanding of the full procurement cycle: PR creation, vendor evaluation, PO issuance, and delivery follow‑up.
- Demonstrated ability to negotiate contracts, manage vendor relationships, and achieve cost savings.
- Experience handling contractual agreements and regulatory permits is highly desirable.
- Excellent communication and interpersonal skills, with the confidence to engage senior stakeholders and external partners.
- Strong analytical mindset, capable of evaluating supplier proposals, conducting risk assessments, and preparing detailed reports.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with procurement software or ERP systems.
- High level of mobility and willingness to travel frequently for field work and supplier visits.
