Introduction

We are seeking a dynamic and detail‑oriented Office Administration Coordinator to join our growing team in Kopo, Kabupaten Bandung. This full‑time position offers a stable Monday‑to‑Friday schedule (08:00 – 17:00) and is ideal for a motivated young professional who thrives in a fast‑paced office environment. The role focuses on streamlining administrative processes, supporting internal communication, and leading a small team to ensure seamless daily operations.

Responsibilities

  • Coordinate daily office activities, including scheduling meetings, managing calendars, and organizing travel arrangements for staff.
  • Maintain and update office documentation, filing systems, and digital records using Microsoft Office and cloud‑based storage solutions.
  • Serve as the primary point of contact for internal and external communications, drafting emails, memos, and reports with a professional tone.
  • Lead a small administrative team, assigning tasks, monitoring progress, and ensuring deadlines are met.
  • Prepare and present weekly status reports to senior management, highlighting key performance indicators and any operational bottlenecks.
  • Assist in the preparation of presentations and marketing collateral using tools such as Canva, ensuring brand consistency.
  • Analyze basic web‑based data to support decision‑making, such as tracking office supply usage, visitor logs, and event attendance.
  • Facilitate internal coordination between departments, ensuring that information flows smoothly and projects stay on track.
  • Handle confidential information with discretion, adhering to company policies and data protection regulations.
  • Continuously seek process improvement opportunities, proposing and implementing efficient workflows.

Requirements

  • Female candidate, maximum age of 26 years.
  • Minimum education: D3/D4 (Associate or Bachelor’s degree), preferably in Communications or a related field.
  • At least 1 year of proven experience in an administrative or office coordination role.
  • Strong verbal and written communication skills, with excellent interpersonal abilities.
  • High level of initiative, diligence, and the ability to multitask effectively under pressure.
  • Leadership potential: capable of managing team schedules, delegating tasks, and fostering collaboration.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable using email platforms.
  • Basic knowledge of design tools such as Canva and experience with web‑based data analysis is a plus.
  • Readiness to start work immediately and a willingness to work on-site in Kopo, Kabupaten Bandung.
