Responsibilities

  • Manage and maintain the executive’s calendar, schedule meetings, and coordinate travel arrangements while optimizing time efficiency.
  • Prepare, proofread, and distribute internal and external correspondence, reports, presentations, and meeting minutes using Microsoft Office and Canva.
  • Act as the primary point of contact for visitors, vendors, and clients, delivering courteous and prompt service.
  • Maintain accurate filing systems—both electronic and physical—ensuring quick retrieval of contracts, financial documents, and compliance records.
  • Support the finance department by assisting with basic bookkeeping, invoice processing, and data entry into the accounting system.
  • Organize company events, workshops, and training sessions, handling logistics such as venue booking, catering, and material preparation.
  • Monitor office supplies inventory, place orders, and negotiate with suppliers to achieve cost‑effective procurement.
  • Assist in the preparation of quarterly and annual reports, ensuring data integrity and timely submission.
  • Collaborate with cross‑functional teams to streamline workflows, improve documentation standards, and foster a culture of continuous improvement.
  • Handle confidential information with the utmost discretion, adhering to company policies and data‑privacy regulations.

Requirements

  • Minimum education: Bachelor’s degree (S1) in Business Administration, Management, or a related field.
  • At least 1 year of proven experience as an administrative secretary or in a comparable corporate support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and graphic‑design tools such as Canva.
  • Strong written and verbal communication skills in both Bahasa Indonesia and English.
  • Exceptional attention to detail, accuracy, and the ability to produce high‑quality documents under tight deadlines.
  • Demonstrated integrity, honesty, and a responsible work ethic.
  • Ability to work effectively under pressure, prioritize tasks, and meet multiple deadlines simultaneously.
  • Team‑player mentality with the flexibility to work independently when required.
  • Open to candidates of any gender; however, the position currently specifies a female applicant with a maximum age of 30 years, in line with specific project requirements.
