Introduction
We are seeking a highly organized and proactive Assistant Personal Executive Senior to support our General Manager and senior leadership team. This pivotal role acts as the right‑hand to the General Manager, ensuring day‑to‑day operations run smoothly, communications across the group are seamless, and all executive engagements are meticulously planned. Responsibilities
- Coordinate and manage the General Manager’s calendar, including appointments, board meetings, conferences, and travel logistics.
- Serve as the primary liaison between the General Manager and internal departments, subsidiaries, and external partners.
- Prepare, edit, and format reports, presentations, and briefing materials for executive meetings.
- Assist with administrative tasks such as filing, document control, and expense reporting.
- Attend meetings, take accurate minutes, and distribute action items in a timely manner.
- Maintain and nurture professional relationships with VVIPs, business partners, and prospective collaborators.
- Handle confidential information with the highest level of discretion and integrity.
- Anticipate the needs of the General Manager and proactively resolve issues before they arise.
- Support special projects, event planning, and ad‑hoc initiatives as required.
- Work flexible hours, including weekends or public holidays, when business demands dictate.
Requirements
- Minimum education: Diploma (D3/D4) – a Bachelor’s degree (S1) is preferred.
- At least 1 year of proven experience as an executive secretary or personal assistant.
- Excellent interpersonal and communication skills, both written and verbal.
- Strong organizational abilities with a keen eye for detail.
- Professional appearance and demeanor, reflecting the company’s brand.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with virtual meeting platforms.
- Ability to work under pressure, prioritize multiple tasks, and meet tight deadlines.
- Willingness to work extended hours, including weekends and holidays, when necessary.
- Fluency in Bahasa Indonesia; English proficiency is a plus.
