Introduction
We are seeking a dynamic and professional Front Desk Agent to be the welcoming face of our organization. This role is essential in creating a positive first impression for clients, visitors, and partners while ensuring smooth daily operations at the reception area. Responsibilities
- Greet and direct all visitors, clients, and vendors with a courteous and professional demeanor.
- Manage a high volume of inbound and outbound calls, routing inquiries to appropriate departments and providing accurate information.
- Maintain the front desk area, ensuring it is clean, organized, and stocked with necessary supplies.
- Handle appointment scheduling, meeting room reservations, and calendar coordination for senior staff.
- Process incoming and outgoing mail, packages, and courier services while tracking deliveries.
- Assist in preparing daily reports, visitor logs, and occupancy statistics.
- Support administrative tasks such as data entry, document filing, and basic bookkeeping as needed.
- Act as a liaison between clients and internal teams, facilitating clear communication and swift resolution of issues.
- Identify opportunities to improve front desk processes, suggesting innovative solutions to enhance efficiency.
- Uphold company policies regarding security, confidentiality, and workplace safety at all times.
Requirements
- Minimum educational qualification: D3/D4 (Associate degree or higher).
- At least 1 year of proven experience in a front desk, reception, or customer service role.
- Strong leadership qualities with the ability to mentor junior staff and lead by example.
- Excellent verbal communication skills in Bahasa Indonesia and English; clear articulation and active listening are essential.
- Innovative and creative mindset – able to propose and implement process improvements.
- Team‑spirit oriented with a service‑mindset, consistently putting the needs of clients and colleagues first.
- High attention to detail, ensuring accuracy in documentation, scheduling, and information dissemination.
- Proficiency with office software (MS Office, email platforms) and basic knowledge of CRM or ERP systems.
- Flexibility to work Monday through Saturday, from 08:00 to 17:00.
