Introduction
The General Affairs Officer – Corporate Services Management is a pivotal role within our organization, responsible for ensuring the smooth operation of our vehicle fleet, building facilities, and related assets. This position reports to the Corporate Services Manager and works closely with internal departments and external vendors to maintain high standards of safety, efficiency, and regulatory compliance. Ideal candidates are proactive problem‑solvers with a strong eye for detail, excellent organizational abilities, and a passion for continuous improvement in a fast‑moving corporate environment.
Responsibilities
- Monitor daily usage of operational vehicles and track fuel consumption, identifying trends and opportunities for cost reduction.
- Develop and maintain a preventive maintenance schedule for all assets, including buildings, facilities, and vehicle fleets, ensuring timely servicing and minimal downtime.
- Manage the entire lifecycle of vehicle documentation, such as STNK, KIR, insurance policies, and renewal processes, guaranteeing legal compliance.
- Coordinate with approved vendors and service providers for repair work, procurement of operational supplies, and contract negotiations.
- Prepare and deliver regular reports on asset utilization, condition, and maintenance activities to senior management, using Excel and other analytical tools.
- Conduct periodic inspections of facilities and vehicles, documenting findings and recommending corrective actions.
- Assist in budgeting for asset maintenance and operational expenditures, providing data‑driven insights to support financial planning.
- Support emergency response procedures related to asset incidents, ensuring swift resolution and accurate incident reporting.
- Maintain an organized filing system—both physical and digital—for all legal, insurance, and maintenance records.
- Foster a culture of safety and compliance by delivering briefings and training sessions to staff who use company assets.
Requirements
- Education: Minimum D3/D4 (associate degree) in any field; a bachelor’s degree (S1) is preferred.
- Age: Up to 35 years old.
- Gender: Male (as per current operational requirements).
- Experience: At least 1–2 years of relevant experience in General Affairs, asset management, or facilities administration.
- Technical Skills:
- Proficiency in Microsoft Office, especially Excel for data analysis and reporting.
- Familiarity with asset management software or ERP modules is a plus.
- Licenses: Valid Indonesian driver’s licenses SIM A & C.
- Core Competencies:
- Strong analytical and data‑driven decision‑making abilities.
- Excellent communication and coordination skills for vendor and internal stakeholder interaction.
- Adaptability to changing priorities and fast‑paced work environments.
- Attention to detail in documentation and compliance matters.
- Ability to work independently as well as part of a multidisciplinary team.
- Work Schedule: Monday – Saturday, 08:00 – 17:00.
