Responsibilities
- Greet patients and visitors with a warm, courteous demeanor, providing accurate information about services, treatments, and clinic policies.
- Manage patient registration, appointment scheduling, and the reservation system, confirming bookings via phone, WhatsApp Business, and social media platforms.
- Coordinate doctors’ and beauticians’ daily schedules, ensuring optimal utilization of treatment rooms and minimizing wait times.
- Handle all payment transactions, issue receipts, and prepare comprehensive daily financial reports for management review.
- Respond promptly to patient inquiries through WhatsApp, telephone calls, email, and social media, addressing concerns and providing follow‑up information.
- Maintain an up‑to‑date and accurate patient database, ensuring confidentiality and compliance with data protection regulations.
- Collaborate closely with clinical staff, assisting in preparing treatment rooms, restocking supplies, and communicating special patient needs.
- Keep the reception area and waiting lounge clean, organized, and aesthetically pleasing, reflecting the clinic’s brand standards.
- Support marketing initiatives by promoting special offers, loyalty programs, and new service launches to patients.
- Assist in occasional administrative tasks such as filing, inventory tracking, and preparing promotional materials.
Requirements
- Female candidates, maximum age 28 years (all genders welcome if local labor regulations apply).
- Minimum education: SMA/SMK or equivalent.
- At least 1 year of experience in a front office or customer service role, preferably within a beauty clinic, spa, or hospitality environment.
- Polished appearance, professional attire, and excellent interpersonal communication.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and familiarity with clinic management software.
- Regular use of WhatsApp Business and social media for client engagement.
- Strong attention to detail, quick decision‑making ability, and a genuine service‑oriented mindset.
- Team player who can work under targets and adapt to changing priorities.
